Manage AI shortcuts for quick access to common prompts.

Accessing Quick Actions

From Settings > Preferences > Appearance, you can enable quick actions for both the Message block and the Draft block.

Doing so enable you to adds or remove UI shortcuts that make AI actions accessible when viewing incoming messages or when composing a reply in a draft.

This is especially useful if your organization shares many prompts since you may not need all of them as shortcuts. These settings allow you to display only the quick actions that are relevant to your workflow.

How prompts appear based on context

When you create AI prompts for drafts, where they appear depends on whether your prompt uses the [selection] variable:

Prompts with [selection] - Appear only when you've selected text in your draft. These are for actions like "Fix grammar" or "Translate" that work on specific text.

Prompts without [selection] - Appear when no text is selected. These are for actions like "Generate reply" or "Write conclusion" that don't need selected text.

This means you can't manually reorder which prompts appear in each context - the [selection] variable determines it automatically. If you want a prompt to appear when text is selected, include [selection] in your prompt. If you want it to appear when no text is selected, don't use [selection].
